How do automated workflows work in Trip Pipeline?

Automations handle routine trip admin for you. They can move trips to the next status, add to-do lists, mark tasks as done and send reminders.

Admin users only. Only admin users can add, delete, rename, reorder or move statuses between Active, Won and Lost. If you need a status changed, ask an admin user on your account. For more information, see What is trip Pipeline? `

 1. How the workflow builder works

Every automation follows one simple sentence:

When something happens... on these trips... then do this.

The builder has three blocks that match this sentence:

Block What it means How many?
When (Trigger) When or how often Wetu checks your trips Always one. It's added for you and can't be removed.
And this is true (Conditions) Which trips the automation applies to As many as you need
Then do this (Actions) What Wetu does automatically As many as you need

Each item you add inside a block is called a node.

2

When (Trigger)

The trigger tells Wetu when to look at your trips. Choose one of these:

  • is updated: Runs as soon as someone on your team changes something on a trip, such as its status. Use this for "as soon as X happens" workflows.
  • approaches a date: Wetu checks your trips in the background every 30 minutes. Use this for deadlines and travel dates. It works best with at least one date condition.

And this is true (Conditions)

Conditions narrow things down to the exact trips you care about. You can add as many as you like. Every condition must be true for the automation to run.

Condition Use it to...
Status is... Target trips in a specific selling phase (or trips moving from one status to another)
Trip has expired after... Catch trips that have been in the same status for too long
Trip is starting... Act as departure dates get closer
Trip is ending... Follow up once your travellers are home
Task is due... Stay on top of your to-do list
Trip owner is... Run automations for one consultant's trips
Branding is... Handle trips for specific B2B clients or brands
Reference number is... Handle trips that share a reference number
Itinerary name is... Handle the same itinerary sold to different clients
Client name is... Spot returning travellers
Total PAX is... Handle group sizes, from couples to large groups
Number of nights is... Handle long or short stays

Then do this (Actions)

Actions are what Wetu does automatically once the trigger runs and all your conditions are true. You can add several actions to one automation.

  • Change trip status: Moves the trip to a status you choose.
  • Add tasks to the trip: Adds a to-do list. Each task needs a title and can have a description. Tasks are assigned to the trip owner.
  • Mark all tasks as done: Closes every task on the trip.
  • Send in-app notification: Sends a reminder inside Wetu to the trip owner, all users (consultants), all admin users or specific people. You can choose more than one person.

 2. Building your automation step by step

 Step 1

Start a new automation

1. Click the Automate button in the top right of the Trip Pipeline.

3

2. Start from scratch or pick a ready-made starting point:
    • Create from scratch
    • When trip date approaches โ†’ send notification
    • When trip status changes โ†’ add tasks
    • When trip status expires โ†’ change status
4

 Step 2

Set up the trigger

1. Click the When block. It's already on the screen. The side panel opens.
2. Choose is updated or approaches a date.
 Step 3

Add conditions

1. Click + Add condition under And this is true. A panel opens with every available condition.
2. Pick a condition to add it.

5

 Step 4

Add actions

1. Click + Add action under Then do this.
2. Pick an action from the panel.

6

Editing a node

  1. Click any node to open its settings in the side panel.
  2. Fill in the details, such as which status, how many days, the task names or your notification message.
  3. Click Done, the X or anywhere outside the panel to close it. Your changes are kept.
7

Adding more nodes

Once a block has at least one node, the button changes to a small +.

  1. Click + to add another condition or action.

Example: Status is Booked and Trip is starting in 7 days.

Swapping a node for a different one

  1. Click the node to open its panel.
  2. Click the green reset button in the bottom left of the panel.
  3. Choose a new option.
8

Removing a node

  1. Click the node to open its panel.
  2. Click the red trashcan in the bottom left of the panel.

You can remove any condition or action. The When trigger can't be removed, but you can change its settings.

9

Saving and switching it on

  1. Click Save.

You can only save once your automation has at least one condition and one action. Your new automation then appears in your list of automations. You can edit it, switch it off or delete it at any time.

 3. Helpful tips

Tip 1: Always add a "Status is..." condition

Add a Status condition to every automation. It makes sure the automation only runs on trips in the right phase of your pipeline. Without it, an automation could run on trips you didn't mean it for, such as cancelled trips or trips that have already travelled.

Tip 2: Use "approaches a date" whenever you use a date condition

If your automation uses a date condition (Trip has expired after..., Trip is starting..., Trip is ending... or Task is due...), always set the When block to approaches a date.

Why? The is updated trigger only runs when someone on your team changes a trip. Dates come and go without anyone touching the trip, so an automation with is updated could miss the date completely. With approaches a date, Wetu checks your trips in the background every 30 minutes. Your automation runs on time even if nobody opens the trip.

Good to know: Which automations change trip card colours

Some automations make your trip cards change colour as a deadline gets closer. This shows you at a glance what needs attention.

Trip cards change colour when:

  1. An automation uses a date condition together with a "Change trip status" action. The date conditions are Trip has expired after..., Trip is starting..., Trip is ending... and Task is due.... The card counts down to the status change, for example "7 days until Cancelled".
  2. A task's due date is coming up or has passed.

Notification-only automations don't change a card's colour.

The colour depends on where the trip is being moved to:

  • To a Lost status (for example Cancelled or Did not book): The card shows warning colours, ๐ŸŸก yellow, then ๐ŸŸ  orange, then ๐Ÿ”ด red, getting stronger as the date gets closer.
  • To a status in the same category, or into an Active or Won status (for example Booked โ†’ Travelled): The card shows ๐Ÿ”ตblue.

This helps you spot trips that are at risk of losing the booking or the sale, so you can act in time. Blue just lets you know a trip is about to move forward, with nothing to worry about.

Colour

What it means

โšชWhite

Nothing due soon

๐Ÿ”ตBlue

Information: an automation will soon move this trip forward, for example to Travelled

๐ŸŸกYellow

Something is due in the next 30 days

๐ŸŸ Orange

Something is due in the next 7 days

๐Ÿ”ดRed

Urgent: an automation runs tomorrow, or a task is due today or overdue

When does the colour go back to white? Once the trip's status changes (automatically or by hand), or once the overdue task is marked as done.

What if several things are due at once? A trip shows one message at a time. Status changes that end a trip, such as Cancelled, come first. Task deadlines come next. After that, the most urgent colour wins.

 Managing your automations

As your business grows, your processes change, and the automations you set up may no longer fit how you work. You can switch automations on or off when they're not needed, or edit them as your processes change.

Admin users only: Only admin users can open Manage automations.

Open Manage automations

  1. Select Pipeline in the left-hand navigation. Trip Pipeline opens, showing all the trips in your account.
  2. Select the Settings cog in the top right corner.
  3. Select Manage automations.

New 1

New 2

A list of all the automations set up in your account opens, including the automations we've set up for you.

New 3

What you can do

Action How Good to know
Switch on or off Use the toggle next to the automation The best option when an automation isn't needed for now, as you can switch it back on later
Edit Select the three-dot menu (โ‹ฎ) next to the automation, then Edit Opens the automation in the workflow builder, so you can add, remove or change what it does
Delete Select the three-dot menu (โ‹ฎ) next to the automation, then Delete Removes the automation permanently

Note: Once you delete an automation, it's gone permanently and can't be retrieved, even by Wetu Support. If you might need it again, switch it off instead.

Edit an automation

  1. Select the three-dot menu (โ‹ฎ) next to the automation, then Edit. The workflow builder opens.
  2. Make your changes. For example: select an action, such as Add tasks to the trip, to update or remove a task, or select + next to Then do this to add another action, such as another task or an in-app notification to a different person.
  3. Select Save.

New 4

Example: A payment follow-up automation notifies the trip owner. You also want another user in your account to be told. Edit the automation, add a Send in-app notification action, and choose that user under specific people.

For more on editing, swapping and removing nodes in the workflow builder, see How do automated workflows work in Trip Pipeline?

Tip: Review your automations every couple of months. As your processes are refined and new steps are needed, updating your automations keeps your team's work standard and saves time for all your travel designers.
