Upload the rate sheet you already send out, or type your rates in. If your profile doesn't have any yet, add them first. If there are no rooms or activity options, Rates & Offers shows **Rates have not been added**. In your profile editor, open the **Rates & Offers** tab. 2. Select **Add rates**. The **Add rates with AI** screen opens. 3. Choose how to share your rate sheet: - **Upload a document:** drop your rate sheet into the box, or browse to it. - **Paste a link:** paste a link to your rate sheet. 4. Check the rooms or activity options listed under **What we'll match**. 5. Select **Convert rates**. | Accepted | Details | | --- | --- | | **File types** | PDF, Word (.docx) or Excel (.xlsx), or a link | | **Maximum size** | 20 MB | | **What reads best** | Text-based documents. Wetu notifies you and sends you an email when your rates are ready to review. #### **Check what came through** When your rates are converted, a summary shows what Wetu found in your rate sheet. Nothing is published yet.  | Section | What it shows | | --- | --- | | **Came through** | What Wetu read from your rate sheet, for example the rooms matched to your profile, seasons with dates, rate fields and currency, terms, inclusions and exclusions, extras, meal and drinks bases, cancellation bands and special offers | | **Needs your attention** | Anything you need to decide before your rates can go live, for example a room that doesn't match your profile, or a rate sheet with no validity dates | ![AI Rates TB1a](https://knowledge.wetu.com/hs-fs/hubfs/Knowledge%20Base%20Content/Trade%20Profile/Rates/AI%20Rates%20TB1a.jpg?width=670&height=395&name=AI%20Rates%20TB1a.jpg) **Note:** If your rate sheet doesn't say when the rates are valid, set the validity period in the rates editor before you save.  #### **Match your rooms or activity options**  Under **Map what we found to your sleeping arrangements**, each room or activity option in your rate sheet is listed under **In the document**, next to the sleeping arrangement or activity option it's matched to. Confident matches are set for you. Anything that doesn't match is left for you to decide. Use the dropdown to change it if needed. | | **Needs mapping** | There's no room or activity option on your profile with this name. | Choose one from the dropdown, or create a new one. | | **Changed** | You've chosen a different match from the dropdown. | Nothing more to do. | | **Will be created** | You've chosen to create a new room or activity option for it. | Select **Edit** under the dropdown to change its details. | | **Nothing found** | A room or activity option on your profile has no pricing in the rate sheet. | Nothing to do. It won't have rates from this rate sheet. | To match a row marked **Needs mapping**: 1. Open the dropdown next to it. 2. Check the **Name**. It's filled in from your rate sheet. 2. Enter a **Description**. This is required, because it's published with your profile. 3. Choose the **Type**, for example Suite. 4. In your profile editor, open the **Rates & Offers** tab. 2. Select **Add rates**. The **Add rates with AI** screen opens. 3. Select **Switch to manual**. An empty rates editor opens, listing your rooms or activity options. 4. Fill in the rates editor (see below). 5. It's one page with these sections:  | Section | What to do | | --- | --- | | **Rate sheet name** | Select the pencil icon to rename your rate sheet. | | **Currency** | Choose the currency of your rates. Wetu doesn't convert rates. | | **Seasons** | Seasons are the columns. Select **Add season** to add one, and use the edit and delete icons on each season. A season can cover several date ranges. | | **Structure & basis** | Rooms or activity options are the rows. Select **Structure & basis** under each one to set how the price is charged (for example per room/suite or per unit/villa) and the meal basis (for example B&B or HB). | | **Prices** | Type the price for each room or activity option in each season. | | **URL to online rates** | Optional. Add a link if your rates are also hosted online. | | **Validity period** | Set the **From** and **To** dates your rates are valid for. | | **Blockout dates** | Select **Add blockout period** for dates your rates don't apply to. | | **Extras** | Add each extra with its **Item** name, **Price** and **Inclusion type** (for example Included). Select **Add another item** for more. | | **Discounts and offers** | Select **Add another discount** to add special offers or discounted rates. | | **Release, deposit & cancellation** | Set the release period and rule, deposit percentage (tick **Non-refundable** if it applies) and deposit terms, balance due and payment terms. Your rates go live on your Trade Profile. In your profile editor, open the **Rates & Offers** tab. 2. If you have more than one rate set, choose the one you want from the rate set dropdown. 3. Select **Edit rates**. The rates editor opens. 4. Make your changes. 5. Choose which one to view. | | **Add rates** | Creates a new rate set | | **Edit rates** | Opens the selected rate set in the rates editor | | **Show past seasons** | Brings back seasons that have ended. They're hidden by default. | | **Expires in X days** | Counts down to the end of your validity period, if you've set one | | **Language tabs** | Show when your rates exist in more than one language, for example English and German. Anyone with your Trade Profile link can see them. They are not behind a login.  | Section | What it shows | | --- | --- | | **Rate sheet name** | The name of your rate set at the top of the tab, for example "Rate Sheet 2026/04/30 - 2027/06/30" | | **Seasons and prices** | A table for each room or activity option. Each row is a season, with its name and dates. The columns show how the price is charged, for example per person sharing, single occupancy or per room/suite. Prices show in the currency you loaded. | | **Extras** | A table of your extras with the item, price and inclusion, for example **Optional** or **Extra** | | **Inclusions & conditions** | Expandable sections such as **Terms and Conditions** and **Inclusion**, covering what's included, payment, cancellation and child policies | ![Rate season 1](https://knowledge.wetu.com/hs-fs/hubfs/Knowledge%20Base%20Content/Trade%20Profile/What%20information%20appears%20on%20a%20Trade%20Profile/New%20media/Rate%20season%201.jpg?width=670&height=482&name=Rate%20season%201.jpg) ![Inclu extras 1](https://knowledge.wetu.com/hs-fs/hubfs/Knowledge%20Base%20Content/Trade%20Profile/What%20information%20appears%20on%20a%20Trade%20Profile/New%20media/Inclu%20extras%201.jpg?width=670&height=482&name=Inclu%20extras%201.jpg) Depending on what you've added, the tab can also show your basis codes legend (for example B&B or HB), validity and blackout dates, discounts and offers, and release, deposit and cancellation terms.  **Note:** Past seasons, the expiry badge, the audit trail and the edit buttons only show in your editor. Are the seasons current, or has the rate set expired? | Only saved, current rates show, and there's a short delay. Save, or load new seasons. Otherwise wait, refresh, then contact Support. | | **Some of my seasons disappeared** | Select **Show past seasons** in the editor. | Past seasons are hidden by default. Nothing is lost. Add next season's rates. | | **I can't add rates** | Does your profile have rooms or activity options? | Rates are matched to them. Add them in **Rooms & Services** first. | | **Rates are missing after the AI upload** | Were items flagged on the matching screen? | Anything that doesn't match is flagged, never guessed. Pick the right room or option, or quick-add it. | | **My rate sheet was read incorrectly** | Is it a scan, an image, over 20 MB, or an unusual layout? | AI is a first pass, and text-based files read best. Correct the rates in the rates editor before you save. | | **The wrong language is showing** | Which language tabs exist on the rate set? | Each language is saved separately. Add or edit that language. | | **I loaded a new year and the old one still shows** | Which rate set is selected in the dropdown? | A profile can hold more than one rate set. Check you edited the right one. | | **Where did my iBrochure rates go?** | | Rates now live on your Trade Profile, not the iBrochure. Load your rates in **Rates & Offers**. | | **I want to use my own meal code** | | This isn't possible. Wetu's standard codes keep rates comparable across the trade. | | **My rates show in the wrong currency** | What currency is on your rate sheet? | Rates show in the currency you loaded. Wetu doesn't convert them. Rates & Offers is free for every supplier on every tier, and free for trade partners to view. | | **Who can see my rates?** | Anyone with your Trade Profile link. Rates show as rack rates and are not behind a login. | | **Can I keep my rates private, or show only a trade rate?** | Not yet. At the moment, Rates & Offers shows rack rates only. If you don't want to share your rack rates, don't load them. | | **Can I load more than one rate sheet?** | Yes. A profile can have more than one rate set, for example one per year. Use the rate set dropdown to switch between them. | | **What happens when my rates expire?** | Seasons that have ended no longer show on your Trade Profile.
