How do I add room types and sleeping arrangements?

If you're an accommodation provider (hotel, lodge, guesthouse, etc.), this step lets you detail your rooms so travel agents can match clients with the perfect accommodation.

Benefits of detailed room information:
- Travel agents can match rooms to client needs (couples, families, groups)
- Clients see exactly what they're booking
- Reduces back-and-forth communication
- Shows professionalism and attention to detail

The more specific your room details, the easier it is for agents to book with confidence.

Before you start

Have ready for EACH room type:

- [  ] Room name (Luxury Suite, Standard Room, etc.)
- [  ] Room description (2-3 sentences)
- [  ] Number of rooms of this type
- [  ] Bed configuration (king, twin, queen, etc.)
- [  ] 4 - 6 photos of this specific room type
- [  ] List of room-specific facilities

Tip: "Room type" means rooms that are identical or very similar. Don't create separate entries for each individual room number.

Understanding room types

What is a room type?

A room type is a category of similar rooms, not individual room numbers.

Examples:
- Luxury Suite - 4 rooms (all with king beds, balconies, river views)
- Standard Room - 6 rooms (all with twin beds, garden views)
- Family Unit - 2 rooms (all with 1 king + 2 singles, separate lounge)

How many room types should I create?

Create one room type for each distinct category you offer.

Example for a small lodge:
- Luxury Suite (4 rooms)
- Standard Room (6 rooms)
- Honeymoon Suite (1 room)

Total: 3 room types covering 11 rooms

Step 1: Access the sleeping arrangements section

If you're creating a new profile:
1. Complete all previous steps (basic setup, photos, facilities, property details)
2. You'll reach the Sleeping Arrangements section

Step 2: Add a sleeping arrangement

1. Click "Add sleeping arrangement" (or "Add room type")

A form will open for you to enter room details.

Step 3: Enter room information

Room Name

Give this room type a clear, descriptive name.

Good examples:
- Luxury River Suite
- Standard Garden Room
- Family Bungalow
- Honeymoon Tent
- Executive Room

Avoid:
- Room 1, Room 2 (too specific)
- Nice room (not descriptive)
- Budget option (negative connotation)

Room name

Room Description

Write 2-4 sentences describing this room type.

What to include:
- Size (square meters if known)
- Bed configuration
- Key features (balcony, view, etc.)
- Ambiance and style
- Special amenities

Select the category that best describes this room.

Common room types:
- Suite
- Standard Room
- Deluxe Room
- Family Room
- Honeymoon Suite
- Twin Room
- Single Room
- Dormitory
- Apartment
- Villa
- Tent (for safari camps)
- Chalet
- Bungalow

Number of Rooms

Specify how many rooms of this exact type you have.

Example:
- If you have 4 identical Luxury Suites → Enter 4
- If you have 1 unique Honeymoon Suite → Enter 1

Remember: This is rooms of THIS type, not total rooms in your property.

Room Configuration

Select the bed setup for this room type.

Common configurations:
- King bed
- Queen bed
- Twin beds (2 singles)
- Double bed
- 1 King + 1 Single
- 1 King + 2 Singles (family)
- 2 Queen beds
- 3+ Singles (dormitory)
- Sofa bed
- Custom (specify in description)

Important: Be accurate - agents match families and groups based on this info.

Step 4: Add room photos

Upload 4 - 6 images specific to THIS room type.

1. Click "Drop files" or "Upload photos"
2. Select 4 - 6 images of this room type
3. Click "Open"

What room photos to include

Essential shots:
1. Overall room view - Wide shot showing bed and layout
2. Bathroom - En-suite facilities (very important)
3. Special feature - Balcony, view, seating area, etc.

Optional additional shots:
4. Detail shots - Amenities, decor, special touches
5. View from room - What guests see from windows/deck

Different room types need different photos - Don't reuse the same photos for all room types unless they're truly identical.

Step 5: Select room facilities

Choose ALL facilities and amenities available in THIS room type.

Common room facilities:

2. Be honest - only select what you actually provide

Important: Select room-specific facilities here. Property-wide facilities (like main pool or restaurant) go in the general property facilities section.

Step 6: Save this room type

1. Review all information:
   - ✓ Room name is descriptive
   - ✓ Description is compelling
   - ✓ Room type selected
   - ✓ Number of rooms is correct
   - ✓ Configuration matches actual beds
   - ✓ Photos uploaded (4 - 6)
   - ✓ All facilities selected

2. Click "Save"
3. Click "Close" (or "Save and close")

Step 7: Add additional room types

If you have multiple room categories, repeat Steps 2-6 for each one.

Example: Adding a second room type

1. Click the  "+ Add another" button
2. Enter details for your next room type 
3. Upload different photos
4. Select facilities 
5. Save and close

Continue until you've added ALL your room types.

Step 8: Review and continue

Once all room types are added:

1. Review the list to ensure all types are included
2. Verify quantities add up to your total room count
3. Click "Next" (or "Save" if editing existing profile)

Managing room types

Editing an existing room type

1. In the Sleeping Arrangements section
2. Find the room type you want to edit
3. Click "Edit" or the pencil icon
4. Make your changes
5. Click "Save"

Deleting a room type

1. Find the room type in your list
2. Click "Delete" or the trash icon
3. Confirm deletion

Warning: This removes the room type entirely. If you're renovating or temporarily closing rooms, update the quantity instead of deleting.

Updating room quantities

If you add or remove physical rooms:

1. Edit the affected room type
2. Update the "Number of rooms" field
3. Save changes

Common room type scenarios

Scenario 1: Identical rooms in different locations

Question: I have 4 river-view suites and 4 garden-view suites. Same size and features, just different views. One room type or two?

Answer: Create TWO room types:
- Luxury River-View Suite (4 rooms)
- Luxury Garden-View Suite (4 rooms)

Why: The view is a significant differentiator that affects booking decisions.

Scenario 2: Minor variations within a type

Question: My 6 Standard Rooms are mostly identical, but 2 have bathtubs and 4 have showers only. One type or two?

Answer: Consider creating TWO room types:
- Standard Room with Bathtub (2 rooms)
- Standard Room with Shower (4 rooms)

Alternative: Create one type and mention variation in description: "Standard Rooms feature either bathtub or walk-in shower"

Scenario 3: Honeymoon or special suites

Question: I have 1 unique Honeymoon Suite that's completely different from my other rooms. Should I create a room type for just 1 room?

Answer: YES - Create a distinct room type:
- Honeymoon Suite (1 room)

Why: This allows you to showcase its unique features and facilities separately.

Scenario 4: Interconnecting rooms

Question: I have 2 Family Units that are each 2 interconnecting Standard Rooms. How do I list these?

Answer: Create a Family Unit room type:
- Family Unit (2 units)
- Configuration: 1 King + 2 Twins (or "2 interconnecting rooms")
- Description: Mention the interconnecting setup

Best practices

Room naming

Do:
- Use descriptive names (Luxury, Standard, Deluxe, Family)
- Include key differentiators (River-View, Garden-View)
- Keep names concise but informative

Don't:
- Use numbers (Room 1, Room 2)
- Use internal codes (RSK, RDT)
- Be vague (Nice Room, Good Room)

Room descriptions

Do:
- Mention size (square meters)
- Describe the view or location within property
- Highlight special features
- Use sensory language (spacious, intimate, sun-drenched)
- Include functional details (work desk, seating area)

Don't:
- Copy the same description for all room types
- Use generic language that could apply to any hotel
- Forget to mention the bathroom setup
- Include pricing (that goes elsewhere)

Room photos

Do:
- Use room-specific photos for each type
- Include bathroom shots (travelers care about this!)
- Show the view from the room if it's a selling point
- Ensure photos are well-lit and staged
- Update photos after renovations

Don't:
- Reuse the same photos for different room types
- Skip bathroom photos
- Use dark or poorly lit images
- Show unmade beds or clutter

Troubleshooting

I have too many room variations to list separately
Focus on the main differentiators (bed type, view, size class) and group minor variations. Mention variations in descriptions.

Room configurations don't match my beds
Choose the closest option and clarify in the description. For unique setups, use "Custom" if available or describe in detail.

I can't upload photos for a specific room type
- Check file sizes (25MB each and not below 2MB)
- Verify format (JPG or PNG)
- Image resolution above 2MP
- Try uploading fewer images at once
- Contact support if the issue persists

How do I show rooms can interconnect?
- Mention in the room description
- Consider creating a specific "Family Unit" room type if you have interconnecting pairs

Do I need to update room types seasonally?
Only if the actual rooms change (e.g., tents vs. permanent structures). Otherwise, just update photos if needed.
