How do I build a basic itinerary using the Itinerary Builder?

A step-by-step walkthrough of the Wetu Itinerary Builder - from creating a new itinerary to sharing it with your client.

Create a new itinerary 

  • In the navigation panel, go to Trip Solutions › Personal Itineraries.

  • Click Create New.

Tip for new users:
Build steps in order - later steps depend on what you enter in earlier ones. Use Preview often to see how the itinerary looks to your client.

Step 1: Itinerary Details

Set the name, branding, pricing, and terms for the itinerary.

Field Description
Itinerary Name * Required. The name of the trip (e.g. "Cape Town Explorer").
Client Name Optional - useful if you plan to send the itinerary to a specific client.
Reference Number Internal booking or file reference.
Language Controls the language of the itinerary output.
Theme Controls the visual style of the itinerary.
Branding Select your company profile.
Co-branding Tick if sharing branding with a partner.
Unique Booking URL Optional link for bookings - directs clients to a specific website.

Step 2: Accommodation

Add where your client stays and for how long. This step also determines the trip dates and structure.

  • Set the Start / End date at the top of the step, or use Clear Dates to remove them.
  • Click the blue + to add a new accommodation block (each block A, B, C… represents a stay).
  • For each stay, set the number of nights using the + / − buttons.
  • Set the basis (e.g. B&B, FI) and specify whether drinks are included.
  • Click Room Details (orange button) to configure room types and configuration.
  • Click the red delete button to remove a stay.

Step 3: Route Builder 

Connect destinations and define how your client travels between them. This builds the map and travel flow.

  • For each leg, set the Mode of transport (e.g. Self Drive, Transfer, Scheduled Flight).
  • Click the blue + to add an additional leg to a day's route.
  • Click Directions to generate or edit driving routes.
  • Use + Add Car Hire to attach a rental vehicle.
  • Use GDS Import to import flight details from a PNR.
  • The map on the right updates as you build - toggle between Map and Satellite view, or switch between Automatic and Custom map view.

Step 4: Planner

Add the day-by-day content - activities, notes, and highlights. Each day tab corresponds to one day of the trip.

  • Click Activity to add a preloaded or free-text activity.
  • Click Day Tour to add a published Day Tour.
  • Click Meet & Greet to add arrival or transfer greeting details.
  • Use the Day Itinerary text area to write a narrative for the day.
  • Use Expert Tips to add insider advice for clients.

Step 5: Review

Check the itinerary before sharing. Use this step to catch missing details and confirm everything is client-ready.

  • Preview the itinerary using Discovery or Classic view.
  • Review the layout and content across all sections.
  • Fix any gaps identified - blue ticks show completed fields; pencil icons allow edits.

Step 6: Additional Details

Add the finishing touches and generate outputs to send to your client.

  • Add an Introduction - a welcome message or trip summary.
  • Upload Documents (PDFs, Word docs) to attach to the itinerary.
  • Add Landing Page Media - images or a video for the client-facing page.

Printable Itinerary Download a Word document version of the itinerary.
Print Vouchers Generate individual supplier vouchers.
Print Summary A concise reference document for clients and ground handlers.
Print Directions Download all driving directions as a standalone document.
Pricing (Rack) Download a pricing spreadsheet to work out costs.
Email Client Link Send the itinerary link directly via email.
Classic Itinerary Link Copy the Classic output link to share with clients.
Discovery Itinerary Link Copy the Discovery output link to share with clients.
TravelKey App Code Provides the code for clients to access the itinerary on the mobile app.
