Step 1: Select facilities and amenities

Choose all facilities available at your property (not room-specific - those go in room types).

Common property facilities

Accommodation:

1. Tick ALL facilities your property offers
2. Be honest - only select what you actually provide consistently
3. Click "Save"
4. Click "Next"

Tip: Facilities affect search results - agents filter by amenities, so accurate selection helps them find you.

Step 2: Specify languages spoken

Indicate which languages your staff can communicate in.

Common languages:
- ✅ English
- ✅ Afrikaans

1. Tick all languages your staff speaks fluently
2. If a language isn't listed, add it in the free text field
3. Click "Next"

Multilingual staff? This is a strong selling point - select all applicable languages.

Step 3: Add property contact details

Enter specific booking and inquiry information.

Required fields:

Front Desk / Reservations Telephone Number

- Include country code
- Format: +27 21 555 0123
- This is where agents and guests call to book

Email Address

- Use your reservations or bookings email
- Format: reservations@wanderlustlodge.demo
- Ensure this mailbox is monitored regularly

Additional details (varies by profile type)

For Accommodation:

Check-in Time
- Format: 14:00 (use 24-hour time)
- Standard is usually 14:00-15:00

Check-out Time
- Format: 10:00 (use 24-hour time)
- Standard is usually 10:00-11:00

Number of Rooms
- Total room count across all room types
- Example: 4 Suites + 6 Standard + 2 Family = 12 rooms

Star Rating (if applicable)
- Select your official star rating
- Options: 1-star through 5-star
- Leave blank if not rated
- Only select if you have official certification

Operating Hours
- Breakfast: 07:00 - 10:00
- Lunch: 12:00 - 15:00
- Dinner: 18:00 - 22:00

Cuisine Type
- Contemporary African
- Mediterranean
- International
- Fine Dining
- etc.

Seating Capacity
- Indoor: 40
- Outdoor: 30

For Activities:

Activity Duration
- 3 hours
- Full day (8 hours)
- Half day (4 hours)

Group Size
- Minimum: 2 people
- Maximum: 8 people

Operating Schedule
- Daily
- Specific days of week
- Seasonal only

Step 4: Review your profile

Before publishing, review all the information you've entered:

Checklist:
- [  ] Profile name is correct
- [  ] Description is compelling and accurate
- [  ] Location pin is exactly right
- [  ] At least 2 destinations associated
- [  ] 6+ high-quality photos uploaded
- [  ] All facilities selected accurately
- [  ] Languages spoken are correct
- [  ] Contact information is current and monitored
- [  ] Property details are accurate (check-in/out, room count, etc.)
- [  ] Room types complete (accommodation only)

Check info

If you need to change anything:
- Click "Back" to navigate to that section
- Make your updates
- Return to this review screen

Step 5: Save your profile

Before publishing, save your work:

1. Click "Save"

Click save

Your profile is saved as a draft.
What "saved as draft" means:
- Your work is stored securely
- You can close and return later
- Travel agents CANNOT see it yet
- You can continue editing

Step 6: Publish or keep editing

Now you have two choices:

Option A: Publish Profile (Recommended if complete)

Choose this if:
- ✓ All sections are complete
- ✓ You have 6+ high-quality photos
- ✓ Descriptions are polished
- ✓ All information is accurate
- ✓ You're ready for travel agents to discover you

1. Click "Publish Profile"
2. Confirm publication
3. Your profile goes LIVE immediately

Profile is now live - Travel agents can find and use your profile!

Option B: Keep Editing

Choose this if:
- You need to add more photos
- Descriptions need refinement
- You want to double-check information
- You're waiting for professional photos
- You need approval from management

1. Click "Keep Editing"
2. You'll be returned to the profile editor
3. Make any additional changes
4. Publish when ready

Recommendation: Only publish when your profile is truly complete. Incomplete profiles get less visibility and fewer inquiries.

Step 7: Access your profile manager

After publishing (or saving), you'll see navigation options:

My Profiles

- Click "My Profiles" to view all your profiles
- Edit published profiles
- View profile analytics (if available)
- Manage multiple properties

Create Another Profile

- Click "Create Another Profile" if you have additional properties or services
- Each profile is independent
- You can manage multiple profiles from one account

Managing published profiles

Viewing your profile library

Your Profile Library shows all your created profiles:

For each profile you can:
- View - See how it appears to travel agents
- Edit - Update information, photos, or details
- Archive - Hide from search (for closed/seasonal properties)
- Analytics - View profile views and engagement (if available)

Editing a published profile

1. Go to Dashboard > Profiles
2. Find the profile you want to edit
3. Click "Edit"
4. Navigate to the section you want to change
5. Make your updates
6. Click "Save"

Changes take effect immediately - no need to re-publish.

Disable a profile

If you need to temporarily hide a profile:

1. Select the profile in your Profile Library
2. Click "Disable" (or similar option)
3. Confirm archiving

When to disable:
- Seasonal closure
- Renovations
- Temporary unavailability
- Testing a new profile before deleting old one

Disabled profiles are hidden from travel agents but can be reactivated anytime.

Creating multiple profiles

If you manage multiple properties or services:

1. From Dashboard, click "Create Another Profile"
2. Follow the same creation process
3. Each profile is independent with its own:
   - Photos
   - Descriptions
   - Facilities
   - Contact information
   - Room types (if applicable)

Common use cases:
- Multiple lodges or hotels in different locations
- Related businesses (lodge + restaurant on same property)
- Different brands under one management company

Tip: Copy the information from an existing profile and paste it into the new profile manually if the same information is being used.

 Profile performance tips

Getting discovered

To maximize visibility:
- Complete ALL sections (incomplete profiles rank lower)
- Upload the correct number of images (4–6 images)
- Associate with relevant destinations
- Select all applicable facilities
- Update regularly (shows active management)
- Respond quickly to inquiries

Set reminders:
- Review quarterly (every 3 months)
- Update photos annually
- Check contact details monthly
- Refresh description yearly

How travel agents use your profile

Once published, your profile appears when travel agents:

1. Search by location - "Lodges near Kruger National Park"
2. Filter by type - "Luxury accommodations" or "Restaurants"
3. Search facilities - "Properties with spa" or "Wheelchair accessible"
4. Browse destinations - "Mpumalanga region properties"

Agents can:
- View all your details and photos
- Add you to client itineraries
- Contact you directly for availability
- Request rates and packages
- Share your profile with clients

Complete profiles with great photos and get more bookings.

Measuring success

Profile views

Generate manual Accommodation/Activity Leverage Reports 

These reports provide:
- The number of itineraries a profile has been included in
- The number of views those itineraries have generated
- A list of operators, agents, and DMCs who have included the profile in their itineraries

Responding to inquiries

When travel agents contact you:
- Respond within 24 hours (faster is better)
- Be professional and helpful
- Provide requested information promptly
- Follow up if needed
- Build relationships - repeat bookings are valuable

Troubleshooting

My profile isn't showing in searches
- Verify it's published (not still in draft)
- Check your destination associations (add more if needed)
- Ensure facilities are selected
- Confirm location pin is accurate
- Make sure profile is complete (not partial)

I can't edit my published profile
- Make sure you're logged into the correct account
- Check permissions if you're part of a team
- Contact support if edit button isn't appearing

Changes aren't showing
- Click "Save" after making edits
- Refresh your browser
- Clear cache if changes don't appear
- Wait a few minutes for updates to propagate

I want to delete a profile
- Consider archiving instead (preserves data)
- Contact support for permanent deletion
- Note: Deletion cannot be undone
