What are specials?
Specials are promotional offers you create to attract bookings:
- Seasonal discounts
- Stay/pay deals (e.g., "Stay 3, Pay 2")
- Early bird rates
- Last-minute offers
- Package deals
- Value-added promotions
Who sees them: Tour operators and travel agents in Wetu's trade-facing portal.
Accessing Specials Manager
1. Navigate to Content Solutions in your main menu
2. Click "Specials Manager"

The Specials Manager opens, showing:
- Create New Special button
- List of current specials
- Edit, view, copy, and delete options

Creating a new special
Step 1: Start creating
1. Click "Create New Special"
2. The special creation form opens

Step 2: Add special details
Complete all required fields:

Title
What to include:
- Clear, descriptive name
- What the offer is
- Time period if relevant
Examples:
- "Summer Escape: 20% Off June-August"
- "Stay 3, Pay 2 - Low Season Special"
- "Early Bird: Book by March, Save 15%"
- "Honeymoon Package with Complimentary Spa"
This title shows on the tour operator and agent portal - make it compelling.
Type
Select the special type from the dropdown:
Common types:
- Percentage discount
- Stay/pay deal
- Early bird
- Last minute
- Package deal
- Complimentary upgrade
- Value-added offer
- Seasonal promotion

Stay/pay specials require total nights - this field becomes mandatory.
Description
Write a clear summary of the special.
Include:
- What's offered
- Key benefits
- Highlight value
Example:
Enjoy 20% off all room rates for stays between June 1 and August 31.
Perfect for summer family getaways with access to our full range of
activities including game drives, bush walks, and kids' programs.
Keep it concise: 2-3 sentences maximum.
Terms & Conditions
Add the fine print and what's included.
What to include:
- Booking deadlines
- Blackout dates
- Minimum stay requirements
- Cancellation policy
- What's included/excluded
- Combination restrictions
- Payment terms
Example:
Inclusions:
- 20% discount on accommodation
- Complimentary daily game drives
- Welcome cocktail on arrival
Conditions:
- Minimum 3-night stay required
- Valid for new bookings only
- Subject to availability
- Cannot be combined with other offers
- Excludes public holidays and peak season (Dec 15-Jan 10)
Visibility
Select who can see this special:
Options:
- Tour Operators – Specials Portal, Product Manager
- Public – iBrochure

Tip: Use selective visibility for exclusive partnerships or negotiated rates.
Total Nights
Enter the number of nights (if applicable).
When required:
- Stay/pay deals (mandatory)
- Minimum stay specials
When optional:
- General percentage discounts
- Value-added offers
- Complimentary upgrades
Cost
Add pricing details for the special.
Select costing basis:
- Per person sharing
- Per person sharing per night

Example:
- Regular: $250 per person per night
- Special: $200 per person per night (20% off)
Be specific - agents need exact pricing to quote clients.
Booking Validity Dates
Set when the special can be booked.
Format: Start date → End date
Example:
- Booking validity: March 1, 2025 - April 30, 2025
- Means: Agents must book between these dates
Important: These dates control when the special is visible in Wetu.
Travel Dates
Set when travel must occur.
Format: Start date → End date
Example:
- Travel dates: June 1, 2025 - August 31, 2025
- Means: Guests must stay during these dates

Booking validity ≠ Travel dates: Booking is when agents reserve; travel is when guests stay.
Link to Property
Select which property/properties this special applies to.
You can link to:
- Properties you manage
- Multiple properties (if applicable)
Only properties you have access to manage appear in this list.
Saving and publishing
Step 3: Save and publish
Once all fields are complete:
1. Review all information
2. Click "Save" - your special is not live yet.
3. Click "Publish" - Your special is now live and visible to tour operators and agents.
Prepare your specials in advance and publish them at a later stage via the Specials Manager.
After publishing
You'll see options to:
- Return to Specials (view all specials)
- View the Special (see how it appears)
- Create Another (add more specials)

Managing existing specials
Viewing all specials
Your Specials Manager shows all created specials in a list.
Each special displays:
- Title
- Type
- Dates
- Status
- Actions menu
Available actions
Click the special name to:
Edit - Modify special details
Publish saved specials that you have prepared in advance
Click the icons on the right to:
View - See how it appears to agents
Copy - Duplicate and modify
Delete - Remove the special
Editing a special
1. Click "Edit" on the special
2. Modify any fields
3. Click "Save and Publish"
Common edits:
- Extend dates
- Update pricing
- Adjust terms & conditions
- Change visibility
Copying a special
When to use:
- Creating similar specials for different periods
- Seasonal offers with slight variations
- Same structure, different properties
How to copy:
1. Click "Copy" on the special
2. A duplicate opens in edit mode
3. Modify as needed
4. Save and publish
Time saver: No need to re-enter all details from scratch.
Deleting a special
1. Click "Delete" on the special
2. Confirm deletion
Warning: Deletion is permanent. The special will no longer appear to agents.
When to delete:
- Offer has expired
- No longer valid
- Superseded by new offer
Best practices for specials
Write compelling titles
Don't: "Special Offer"
Do: "Summer Family Special: Stay 4, Pay 3 + Kids Eat Free"
Good titles:
- State the benefit clearly
- Include timeframe if relevant
- Use action words
- Highlight value
Be specific in descriptions
Include:
- Exact discount or value
- What's included
- Who it's perfect for
- Key selling points
Example:
"Save 25% on luxury tented suites. Includes daily game drives, sundowner cocktails, and romantic bush dinners. Ideal for honeymooners and couples seeking exclusive safari experiences."
Clear terms & conditions
Must include:
- Booking deadlines
- Travel dates
- Minimum stays
- Blackout dates
- Cancellation policy
- Combination restrictions
Be upfront - hidden conditions frustrate agents and clients.
Set realistic dates
Booking validity:
- Long enough for agents to sell
- Not so long offers become stale
Travel dates:
- Match your actual availability
- Consider seasonality
- Account for maintenance or closures
Price strategically
Consider:
- Shoulder season fill
- Last-minute inventory
- Early bird incentives
- Package bundling
Always show value:
- Regular rate vs. special rate
- What's included
- Total savings
Use visibility wisely
All agents: Mass market offers, seasonal sales
Selected partners: Exclusive rates, contracted deals
Private: Negotiated rates, special partnerships

Booking Validity: March 1 - April 15
Travel Dates: April 1 - June 30
Example 2: Early Bird
Title: "Early Bird: Book by Feb 28, Save 20%"
Type: Early bird
Description: Reserve your summer safari before February 28 and enjoy 20% off all accommodations.
Booking Validity: Now - February 28
Travel Dates: June 1 - August 31
Example 3: Value-Added Package
Title: "Honeymoon Package: Romance Under the Stars"
Type: Package deal
Description: Complimentary champagne dinner, couples' spa treatment, and luxury turndown service. Minimum 3-night stay.
Total Nights: 3
Cost: $850 per person sharing per night (includes all extras)

Troubleshooting
Can't find Specials Manager
- Verify you have a Professional profile
- Check you're in Content Solutions section
- Contact support if still not visible
Special not appearing to agents
- Check booking validity dates (must be current)
- Verify special is published (not draft)
- Confirm property linkage is correct
- Check visibility settings
Can't edit published special
- Refresh the page
- Try a different browser
- Clear cache
- Contact support
Dates not saving correctly
- Ensure booking validity comes before travel dates
- Check date format
- Verify no conflicting date ranges
