### **1. Common workflows: step-by-step examples**

#### **a. Add a to-do list for each status (phase) of a trip**

**Example:** Every time a trip moves to **Booked**, your team needs to confirm accommodation and send the traveller a welcome pack.

1. Create a new automation (or pick **When trip status changes → add tasks**).
2. **When:** Choose **is updated**.
3. **And this is true:** Add **Status is...** and set it to **Booked**.
4. **Then do this:** Add **Add tasks to the trip** and enter:
     - *Confirm accommodation*
     - *Send welcome pack to traveller*
5. *(Optional)* Add **Send in-app notification** to the **Trip owner**: *"New trip booked: 2 tasks have been added."*
6. Click **Save**.

**Result:** When a trip moves to Booked, the tasks appear on the trip straight away and the trip owner gets a notification.
---

**Tips:**

- Create one automation per status to build a to-do list for each phase, for example Enquiry, Quoted, Booked and Travelled.
- Clear leftover tasks on lost trips with a second automation: **is updated → Status is Cancelled → Mark all tasks as done**.

#### **b. Set up expiry deadlines (a trip expires after a while in a status)**

**Example:** You hold provisional bookings for 14 days. If the client hasn't confirmed by then, the trip should move to **Cancelled**.

1. Create a new automation (or pick **When trip status expires → change status**).
2. **When:** Choose **approaches a date**.
3. **And this is true:**
     - **Status is... Provisional**
     - **Trip has expired after... 14** days
4. **Then do this:**
     - **Change trip status** to **Cancelled**
     - **Send in-app notification** to the **Trip owner**: *"The provisional hold has expired and the trip was moved to Cancelled."*
5. Click **Save**.

**Result:** - **Day 1:** The card turns 🟡and shows *"14 days until Cancelled"*. - **Day 8: 🟠** *"7 days until Cancelled"*. - **Day 13:** 🔴*"This trip expires tomorrow and status will change to Cancelled."* - **Day 14:** The trip moves to Cancelled and the card goes back to white.
---

**Tip:** The countdown starts from the last time the trip's status changed. If the client confirms and you move the trip to another status, the countdown stops.

#### **c. Stay on top of travel dates (itinerary starts and ends)**

**Example:** Once a booked trip's itinerary has ended, you want it to move to **Travelled** automatically so your board stays tidy.

1. Create a new automation.
2. **When:** Choose **approaches a date**.
3. **And this is true:**
     - **Status is... Booked**
     - **Trip is ending... is today**
4. **Then do this:** **Change trip status** to **Travelled**.
5. Click **Save**.

**Result:** As the end date gets closer, the card turns 🔵 to show it's about to move forward. On the day the trip ends, it moves to Travelled automatically.
---

**Variation (start date):** If you use a *Travelling* status, set up **Status is Booked + Trip is starting... is today → Change trip status to Travelling**.

**Note:** Automations don't apply to past dates. Trips whose dates have already passed won't be moved when you create a new automation.

#### **d. Get notified about task deadlines**

**Example:** You want a reminder the day before any unfinished task is due.

1. Create a new automation.
2. **When:** Choose **approaches a date**.
3. **And this is true:**
     - **Status is not... Cancelled** (so you aren't reminded about lost trips). You can add more than one *Status is not* condition, for example to leave out *Did not book* as well.
     - **Task is due... is coming up in 1 day**
4. **Then do this:** **Send in-app notification** to the **Trip owner**: *"A task on this trip is due tomorrow."*
5. Click **Save**.

**Result:** The trip owner gets a reminder the day before the task is due. The card also turns 🔴 when the task is due today or overdue, and goes back to normal once the task is marked as done.
---

**Variation (overdue tasks):** Set **Task is due... has passed 2 days ago**, then send a notification to the trip owner and a manager.

#### **e. Get notified about travel dates or deadlines that keep coming up**

**Example 1 (travel dates):** You want a reminder 7 days before departure so you can send final travel documents.

1. **When:** **approaches a date**
2. **And this is true:** **Status is... Booked + Trip is starting... is coming up in 7 days**
3. **Then do this:** **Send in-app notification** to the **Trip owner**: *"Departure is in 7 days. Please send the final travel documents."*

**Example 2 (deadlines that keep coming up):** Quotes that sit for 10 days need a follow-up.

1. **When:** **approaches a date**
2. **And this is true:** **Status is... Quoted + Trip has expired after... 10 days**
3. **Then do this:** **Send in-app notification** to the **Trip owner**: *"This quote has had no response for 10 days. Time to follow up with the traveller."*

**Result:** The trip owner gets a notification at the right moment for every trip that matches.
---

**Tip:** Each automation sends one reminder per trip. If you want reminders at more than one point, for example 7 days **and** 3 days before departure, create a separate automation for each.

### **3. Good to know**

- **Notifications:** For now, automations send in-app notifications only.
- **Tasks:** Tasks added by an automation are assigned to the trip owner and don't get a due date automatically.
- **Renaming a status:** Your automations update to use the new name.
- **Timing:** Date-based automations are checked every 30 minutes, so there may be a short delay.
